“Hothouse Brands have used Kingsford’s mailbox service for the last eighteen months, and we find it ideal for our needs. They have always been very friendly and accommodating, and impressively prompt to respond to e-mails.”

Virtual Office FAQs
How do I become a Virtual Office member?
The sign up process for our Virtual Office is straightforward. Choose a package above. Then get in touch using our contact us page.
After completing the sign-up process we will ask you for ID. Two documents are required, one from each list.
A - Photo ID
- Photo card Driving licence (Paper Counterpart Not Accepted)
B - Proof of Address (provided both name and address is shown)
- Utility Bill (dated in the last 3 months)
- Bank/Building Society Statement (dated in the last three months)
- Current Council Tax Bill
- HM Revenue and Customs Notice of Coding
You will also receive a membership agreement for you to sign. Once we have verified your identity and checked your membership agreement your service will be active. One of our office team will be in touch to confirm this with you and answer any other questions you may have.
Is there a sign-up fee? Do you charge for mail forwarding?
There is no joining fee. We do not normally charge for mail forwarding. If you requested that we forwarded your mail outside of the UK or by special/tracked delivery there would be a relevant charge based on Royal Mail postage costs. Normally mail is sent the same day we receive it and typically arrives within 1-2 working days.
How long is my Virtual Office contract commitment?
Our Virtual Office contract works on a rolling month-to-month basis, we require one month’s notice for cancellation. If you wish to cancel your subscription, you can contact us via phone or email. We can reactivate accounts during the cancellation period if you change your mind.
Can I use your address as my registered office address?
Unfortunately not. The Virtual Office service can only be used as a mailing address, not as your registered office address.
Can I reach my voicemail at any time?
Absolutely, you have 24/7 access to both your voicemail and your mailbox.
Do you have meeting rooms available?
Yes, we have meeting and boardroom space in all three of our Edinburgh locations, and as a Virtual Office member you can use any of these spaces at our members discounted rate. To make use of our special rate, call our office on 0131 322 0909.
